Hear the interest behind the question.
A prospect may ask about meeting space, office support, or services without ever using the word sales.
How you answer shows the prospect how their future calls may be handled.
Clarify what the person is looking for without leading a full sales conversation.
Reception learns what the person needs and connects them with the Business Consultant. The Business Consultant leads the sales conversation.
Here’s what to say “It will be my pleasure to connect you with one of our Business Consultants.”
Connect
Make the handoff complete.
Move quickly, announce the prospect before connecting, and keep them out of an open-ended hold.
Confirm the current assignment with your Manager before you connect the call.
Give the consultant the prospect’s name and brief need. Wait for confirmation before transferring.
“I have Jordan Lee for you. They’re looking for meeting space for a monthly team session. May I put them through?”
If the transfer reaches one minute, return to the prospect and offer a callback.
Write down the person’s full name, confirmed number, what they need, and who received the handoff.
Instead of: Naming a specific consultant before checking
Do this: Promise the right connection, then confirm who is available.
Instead of: Leaving the prospect on a long hold
Do this: Return within one minute and offer a prompt callback.
Instead of: Explaining every service at reception
Do this: Gather the need and connect the person with the Business Consultant.
Support the tour
Let the welcome show the service.
Reception supports the visit through readiness and care, not a sales pitch.
Know current room availability and make reception and tour areas ready before the prospect arrives.
Greet the prospect by name when possible and offer coffee, water, or tea.
“Good morning, Jordan. Welcome to Office Edge. May I offer you coffee, water, or tea?”
Let the Business Consultant know the prospect has arrived and share any useful context.
Notice a repeated need
Tell your Manager what you noticed.
When an existing client seems to need more support, tell your Manager. Keep the idea out of the client conversation.
Pay attention when a client repeatedly needs more room, call, or administrative support.
Tell your Manager what you observed instead of guessing what the client should buy.
Your Manager can decide whether anyone should follow up and who should do it.
Instead of: Suggesting an added service to the client
Do this: Share the specific need with your Manager and let them decide the next step.
